• Contact & Identification Data: Full name, ID or Passport number (for venue access control), physical address, mobile number, and email address.
• Professional Information: Job title, company or organization name, professional affiliations, and industry sector.
• Billing & Financial Information: Invoicing details and payment confirmation. (Payment card details are securely processed via certified third-party payment gateways and are never stored directly by Forum Point Solutions).
• Event Preferences & Special Category Data: Dietary preferences, accessibility requirements, and session choices.
• Media & Visual Data: Photographs, audio recordings, and video footage captured during the conference.

2. Purpose and Lawful Basis for Processing

Forum Point Solutions processes your personal information strictly for specific, lawful purposes in compliance with POPIA:

• Event Logistics & Management: To process registrations, print attendee badges, manage entry control, and send logistical notices (e.g., agendas, parking details, venue updates).
• Contractual Obligations: To issue tax invoices, process payments, and issue certificates of attendance.
• Attendee Communication: To send critical administrative announcements related to safety, event updates, or scheduling.
• Media & Promotional Photography: To capture general event footage for marketing future Forum Point Solutions events. (An opt-out mechanism is available upon registration or at the event registration desk).
• Direct Marketing: To notify you about upcoming conferences or relevant industry events hosted by Forum Point Solutions, provided you have consented or where permitted under Section 69 of POPIA.

3. Sharing and Disclosure of Information

Forum Point Solutions does not sell or rent attendee personal information. We share data only under the following conditions:

• Operators & Service Providers: Trusted third-party vendors who perform functions on our behalf (e.g., ticketing systems, badge printers, venue security, and payment processors) bound by strict confidentiality and data processing agreements.
• Sponsors and Exhibitors: Contact details will only be shared with conference sponsors or exhibitors if you grant explicit, opt-in consent during registration or allow your badge to be scanned at an exhibitor booth.
• Cross-Border Data Transfers: If third-party cloud tools or hosting platforms store data outside of South Africa, Forum Point Solutions ensures the recipient jurisdiction offers an adequate level of protection that substantially matches Section 72 of POPIA.

4. Data Security and Retention

Forum Point Solutions implements appropriate technical and organizational measures (including SSL encryption, secure access protocols, and firewall protections) to safeguard your personal data against loss, damage, unauthorized access, or disclosure.

Personal information is retained only for as long as necessary to fulfill the operational requirements of the conference or to comply with statutory legal, tax, and reporting obligations.

Under POPIA, you have the right to:

• Access: Request a copy of the personal information Forum Point Solutions holds about you.
• Correction & Deletion: Request the correction, updating, or deletion of inaccurate, incomplete, or outdated data.
